First, if the student’s picture needs to be taken (you will be alerted to this and will see that there is no picture displayed) the “Take Picture” button will be enabled. Click it to launch the camera software to take the picture. Please be patient as sometimes the next prompt will appear prior to the camera software starting.

 Click the “Take a Picture” button. You will then get another prompt asking if the picture is acceptable. If you can see their eyes and they are fully in the frame, with no background problems, it is acceptable.

 This displays the courses in which the student is registered. You can’t make any changes at this point – there are a few more notes on this a little later. This does allow a quick confirmation of the student’s registration and gives you a way of answering the “did I get into X from the waitlist?”
 Click “Next” to begin the invoicing process. The first dialogue that is displayed is as follows.

 This question should be answered by clicking the “Official” button.
 When the Fees window displays, you should review the entries. This is the moment to ask about whether the student wants a parking pass. To add this, scroll down the fees list to the Parking Pass, highlight it and click “Select.” Please do not change any other values, even if the student indicates that his or her residence or meal plans. There will be more on this later. Click “Done” to complete this window.

 This window should display. Two important points are that this should be directed to the default printer, and that 2 copies should be selected. This will generate another dialogue.

 Once you have received the printout, choose “Yes.” If you do not receive the printout, please contact a supervisor in the room immediately. They should choose No, which should delete the invoice entries and restore the original balance.
 =Final Payment Window=

 This is probably the most complicated screen. You can add payment mechanisms by filling in the payment type, amount and follow-up date and click “Add.” To delete an entry, highlight the item in the list and click “Delete.” You may need to edit either the amount or the date; to do so double click the entry on the list to bring up the following window.

 Note that there are some restrictions on the follow up date – the only one that you can change much is with payment arrangements.
 Once you have added all the payment mechanisms, click “Finish.” If you have specified too little in payments, the following will appear.

 If you chose “payment arrangement” from the payment options, you should put in an entry for every payment under the agreement. Please see notes from Financial Services concerning payment arrangements.
 If you have selected a loan as a payment, the following window will appear.

 Please complete the fields. Key fields are the loan amount (which is the total amount of the loan), the amount remitted (which must be less than or equal to the total amount of the loan) the disbursement date (which might be listed as a date on which the loan is payable), the Agency (e.g. Alberta Student Finance Board, BCSLP), Description (Canada Student Loan, Alberta Student Loan) and Code (ASL, CSL). For borrower ID please fill in something like a certificate number or other identifier from the loan document. The system will try to complete some of these fields for you, so you are filling in the blanks.

 If you have specified at least as much as is owing, then you may see, if adding or dropping a course was specified, a message like this:
 Note that all changes to a student’s account must happen in the Registry. If the student tells you that she or he will be dropping or adding a course, provide him or her with the add/drop form and ensure that he or she understands that this must happen in person in the Registry. Similarly, if they want to change Rez accommodations or their meal plan, hand them the change forms. Accommodation changes must be signed by the Rez Director, and both of these must be taken to the Registry for processing.
 You should pick up the report printed by this last step. To remind you, there is a little window like this.

 If you chose “payment arrangement” as a payment type, there is an agreement form that is part of this that both you and the student must sign.
